MESA STATE COLLEGE
KEY ISSUE POLICY
The facilities of the college are to be used as fully as possible
within the limits of reasonable security practices. Students or
staff whose study or work requires possession of keys will be issued
them according to procedures outlined below. The issuance and acceptance
of keys which gives access to valuable public property and expensive
materials and equipment is a serious responsibility and all concerned
are requested to follow procedures fully and us the utmost care
in handling of keys to college property.
Keys will only be issued upon written approval on an official Key
Request form signed by appropriate authority as listed:

Keys may be obtained from the Facilities Services Department upon
presentation of a properly signed Key Request and signing of a key
issue agreement. In addition, individuals must present a pictured
ID when picking up keys. Signing the key issue agreement acknowledges
responsibility to safeguard keys at all times and to return keys
to the Facilities Services Department when requested by college
officials or when no longer employed or to pay the appropriate key
replacement cost. Processing of key requests generally takes 2-3
business days upon receipt of properly signed Key Request form.
Signing the key issue agreement means acceptance of the following
terms:
1. The keys are for the individual's personal use and will not
be loaned to others at any time.
2. Lost keys will be reported to the Facilities Services Department
as soon as possible.
3. Persons using their keys after closing hours are responsible
to make sure doors are closed and locked, both upon entering and
leaving, and for supervising any persons admitted who do not have
a key authorization.
4. On separation from the College the keys will be returned or
a nominal replacement fee will be paid as follows:
a. Operating Key $ 25.00
b. Sub Master 50.00
c. Dept. Master 75.00
d. Building Master 100.00
e. Special Grand Master 100.00
f. Other Grand Masters 200.00
5. If keys are lost, a key request form must be submitted again
at which time appropriate fines will be assessed. After assessment,
individuals must pay the fine at the Accounting Office in the administration
building. Replacement keys will not be issued until the key replacement
fee is paid.
6. Keys will not be duplicated under any circumstances.
7. Keys remain the property of the College and must be made available
for periodic inventory upon request of campus locksmith.
8. Individuals holding properly authorized keys may return damaged
or worn keys to the Facilities Services Department for free replacement
at any time.
9. Any Department that has special needs that require exemption
from any part of this policy must get written approval from the
Assistant Vice President/Director of Facilities Services for each
exemption.
10. This policy applies only to building keys or other high security
areas. It does not apply to desks, file cabinets, or other departmental
cabinets or equipment. Facilities does not maintain records or stocks
of desk keys, filing cabinet keys, etc
11. If an individual moves offices, it is the responsibility of that person to return all old keys to the Facilities Department in a timely manner or a fine can be assessed.
