Adding New Employees to the Computer System

New faculty and staff accounts are created during the checkin procedure for new employees. New employees must checkin through the Human Resources Department. Checkout is required through the Human Resources Department when employment is terminated. Supervisors are responsible for employee checkin and checkout.

    HELP DESK Single point of contact for all your computer needs

  • Your single point of contact for your computer needs is telephone 970-248-2111(x2111 from on campus) or through the web at https://helpdesk.mesastate.edu. An alternate phone number is 970-248-1885 (x1885 from on campus). If 970-248-2111 is busy or not answering, voicemail is promptly checked during business hours. If voicemail is not going to be fast enough or if it is after hours, try 248-1885. Location of the HELP DESK is the Library Computer Lab.

Logging into Mesa's Novell Network

  • In order to use your PC, you must login to our Novell network. During the reboot process the system will pause at a screen called Novell Netware Client. You will find a blank for a name and another for a password. The name you use is your email UserID. UserID's can be found in the GroupWise Address book under the person's name. Do NOT press return after typing your name in, use the mouse or tab key to go to the password box and type in your password.
  • LOGGING OFF THE NETWORK AT THE END OF THE DAY: At the end of the day, you should reboot your PC by choosing Start -> Shutdown -> Restart. TURN YOUR MONITOR OFF. You will now be logged off the network and saving energy. We recommend leaving the older PCs on since they use very little power and will hold a constant temperature through the night for longer reliable operation. Newer PCs, Pentium IVs, can be shutdown.
  • To change your Novell login password hold the Ctrl and Alt keys down then tap the Delete key. Choose change password. An alternate method is to right-click on the red "N" at the bottom right-hand corner of the screen to get a menu.  From the menu choose "User Administration for MESA_STATE_COLLEGE" then choose "Novell Password Administration".  DO NOT USE SIMPLE PASSWORDS that can be looked up in a dictionary or easily memorized by someone watching over your shoulder.   (Your GroupWise password is a separate change.)
  • To change your Banner password use the Banner command GUAPSWD.

Security

  • Never let anyone get your password, don't write it on paper, memorize it
  • Never let someone use your computer account
  • Never leave your computer logged in while you are away
    • Use the Windows screen-saver password to lock your PC (Place cursor away from any icons and right-click your mouse. Choose Properties > Screen Saver > On Resume, Password Protect > Apply > OK)
    • Use ctrl-alt-del to “Lock workstation” if leaving before the screensaver comes on.
  • At the end of the day use Shutdown -> Restart and turn your monitor off.
  • Do not use Hotmail or similar email accounts while on campus. These email systems allow executables as attachments which could be viruses, worms, trojans, or keyloggers. Use only GroupWise while on campus.
  • Scan your computer for viruses. Here's how: Start > Programs > Network Associates > VirusScan > ScanNow

Netware Delivered Applications

a.k.a.

Netware Application Launcher - NAL

  • All office, lecture hall, and lab PCs receive software and upgrades through NAL. The NAL window is usually open when a PC is booted, but if not, the NAL icon can be used. The NAL window is normally divided in two.  The left side shows a tree with categories of software such as Banner, Email, Internet Apps, Office 97. Each of these branches can be expanded. For example the Internet Apps branch contains, Netscape,  Internet Explorer, TeraTerm, and WS_FTP.  On the right-side of the window the icons for the programs can be found.
  • All programs should be run from the icons in NAL. Do not try to drag icons from the NAL window to the desktop.
  • You can create a personal folder in the NAL and drag frequently used icons from other NAL branches into your personal folder.
  • When a new program needs to be installed on your PC, the icon for the new program will appear the next time you reboot your PC. When you click on the icon, the program will be downloaded from the network to your PC's hard drive. Do not interrupt the installation process.
  • If a program that was running properly fails to run, you can right click on the icon and choose Verify from the menu. This will check the program and reinstall it if needed.
  • The F5 key or logging out/in will refresh your NAL.  This is normally done if you are expecting a new icon in your NAL.
  • Do not close your NAL, just minimize it. If it does accidently close, you can restart it: START > RUN > NAL
  • Installation of personal software on office computers requires a copy of the license be on file with Mesa State College. Auditors require that we be able to show a license for every software application installed on Mesa State College computers. Call 970-248-2111 about instaling personal software.

EMAIL

  • All faculty and staff have email accounts on GroupWise groupware.
  • GroupWise has many useful features:
    • Designating proxies
    • Tools and Rules
    • POP with GroupWise
    • and much more . . . (See "Documentation" in NAL under email folder)
  • GroupWise can be used for internet mail as well as campus email.
  • GroupWise accounts are created for all employees during the new employee checkin procedure.
  • Change GroupWise password.  From toolbar at top of GroupWise choose Tools -> Options -> Security -> Password (Your Novell password is a separate change.)
  • GroupWise email accounts are for faculty and staff only. Work-study/student assistants are not eligible for GroupWise accounts.
  • Student email accounts are setup for all enrolled students.  Student go to http://students.mesastate.edu to access their email or the STUDENT LOGIN page available from the college web page.
  • GroupWise can be used to send to all faculty or all staff or both. Care should be used to send only messages that are Mesa State College business in accordance with Mesa State College's Electronic Communications Policy.
  • Authorized personnel can send email to all students at students@students.mesastate.edu  
  • A Personals&Sales folder is sent to each GroupWise user. The user should accept the folder then use File -> New -> Discussion thread for making an entry in Personals&Sales.
  • Personals & Sales is for selling personal items or making personal announcements
  • Your GroupWise account can be accessed via a web browser at http://gwmail.mesastate.edu/
  • A campus directory for faculty, staff, and students email addresses can be found on the college's web pages.

Send Email to your class

Send email to your class: (without creating a personal group)

Instructors can email to all students enrolled in their class using the class name and section number in the form:
ACCT202-002@students.mesastate.edu
This is setup automatically each semester. Only the instructor can mail to the class. The email will go to the student's Mesa State email account. All enrolled students have Mesa State email accounts. You might want to remind students that they have a responisiblity to manage their Mesa State email accounts either by reading it on a regular basis or setting up a forward rule to forward to their preferred email account which they read on a regular basis.


PLEASE DO NOT INCLUDE ATTACHMENTS WITH YOUR EMAIL because it uses too much disk space. Use your web page or H:\download directory instead.

NEW FEATURE: It is now possible for an instructor in one subject group such as ACCT to mail to all students in all sections of that group. The address for ACCT would be acct@students.mesastate.edu

Emailing Large Files

  • Maximum file size for mailing files over the internet is 6MB.  To send larger files the following method is recommended:
    • Create a public_html directory on your F:
      1. If your public_html directory already exists with WebPages, create a subdirectory of the name of your choice.
    • Copy the big file the F:\public_html or F:\public_html\subdirectory
    • Tell the recipient of the file to go to http://www..mesastate.edu/~yourlogin  or http://www..mesastate.edu/~yourlogin/subdirectory and click on the file name to download it.

    Sending email to the all students group

  • Only authorized users can send to the all students email group.
  • Non-authorized senders can request to have the Coordinator of Publicity, in Institutional Advancement send a message for them.
  • Authorized senders should never send an attachment to the all students email group.
  • Authorized senders, with the exception of the Publicity Coordinator, should never send a message for someone else.

Help Learning to Use Software

The Center for Technology in Learning and Teaching is a Mesa State College organization founded and operated by MSC faculty. Its purpose is to assist faculty with the use of computer technology in teaching.   Several representatives, all faculty members, are employed to assist faculty with learning to use technology including computer software.

Curriculum Software

  • Curriculum software is the software that is selected by faculty for pedagogical use in coursework.
  • Curriculum software should be turned into Jeremy Brown at least four weeks prior to the beginning of the semester for installation in labs. Some curriculum software might require hardware upgrades on the lab computers so sufficient time is needed to prepare the computers hardware and develop a new configuration to accommodate the software.
  • Curriculum software system requirements should be given to Jeremy Brown before the purchase of the software so plans can be made to support the package.
  • Curriculum software must be purchased in sufficient quantity to meet license requirements.
  • Curriculum software is generally purchased through departmental funds.
  • Proposals to purchase application software for the entire campus must be presented to the Technology Council for consideration. 
  • When sending students to do homework assignments in the library lab, even if the assignment is to use email, and especially if the class is a 100 level class, give the students instruction, preferably written. The lab assistants can assist, but they are not qualified to teach or tutor.  If you would like a guest speaker to come to your class to talk about student use of Mesa’s computer system, call 970-248-2111.

Computer Classroom Operation

  • A computer classroom is a room with a computer for each student.
  • Computer classrooms are H102, H118, W145 and W147.
  • Computer classrooms must be reserved through the office of Academic Affairs
  • Instructors who have never taught in one of our computer classrooms are encouraged to call 970-248-970-248-2111 for an orientation.
  • Instructors should report problems via the web at helpdesk.mesastate.edu. Timely reporting of problems is critical to getting them fixed before the next day of classes.
  • Printer paper and toner needs can be met immediately by calling 1885
  • After 5:00PM, requests are accepted by calling 1885 and requesting help from the lab assistant on duty.
  • Only IT personnel are allowed to install software on lab computers for licensing and technical reasons. Improperly installed software could ruin the next class to use the room. Call 970-248-2111(x2111 from on campus) to have software installed.

Computer Lecture Hall Operation

  • A computer lecture hall is a lecture hall with a computer with a large screen projection system
  • The computer in the lecture hall is networked and has access to all the computer software that is available to students in the library computer lab
  • Only IT personnel are allowed to install software on a lecture hall PC for licensing and technical reasons. Improperly installed software could ruin the next class. Call 970-248-2111(x2111 from on campus) to have software installed.

Library Computer Lab Operation

  • The Library Computer Lab is an open computer lab for student use only.
  • The Library Computer Lab is open the same hours as the library building.
  • The Library Computer Lab has student Lab Assistants on duty at all times to ensure continued operation.
  • A Professional, Tom Orrell, is on duty in the library lab 8-5 M-F.
  • The library lab assistants are students ranging from Freshman through Senior classmen and come from all disciplines. More computer majors apply for jobs as lab assistant than any other major.
  • No classes are allowed in the library computer lab.
  • Students sent to the computer lab to do assignments should be sent with written instructions on how to do the assignments. Students should not be instructed to "just ask the lab assistant".
  • Students should report hardware/software problems to the lab assistant on duty.
  • Students who have difficulties with a lab assistant should report the problem to Tom Orrell whose office is in the back of the library computer lab or via email ( torrell@mesastate.edu ).

Network Access from Home

QUICK SETUP HOME DIALUP ACCESS TO INTERNET FOR WINDOWS 98 and WINDOWS ME PCs

Windows 98 & Windows ME

  • My Computer > Control Panel > Dial-Up Network > Make a New Connection > Next > Telephone number you are dialing into:
    241-2209.
  • Double-click on the new icon in the Dial-Up networking Window labeled "My Connection" then use your Novell login name and password when prompted. You should get a "Verifying Username and Password" message after dialing in. You should now be able to use your web browser to surf the internet. If it works, you're done!

Connecting your computer to the internet using Windows XP

  1. From the desktop double click on the "My Network Places" icon
  2. On the left toolbar single click on "View network connections".
  3. On the left toolbar single click on "Create a new connection"
  4. Click on the following: Connect to the internet > Setup my connection manually > connect using a dial up modem.
  5. For ISP name enter MesaState
  6. For the phone number enter: 241-2209
  7. For username and password use your Novell account information
  8. Add shortcut to the desktop using the check box and then click finish.
  9. Make sure that your modem is connected and plugged in.  Double click on the new icon and you should get a message that the number is being dialed followed by a message that the username and password is being verified.  When that is finished you are ready to surf the net and use email at http://gwmail.mesastate.edu

Creating Web Pages

  1. Make a public_html folder on your F:. 

  2. Move your web pages into public_html

  3. The pages should then be ready to view at http://www.mesastate.edu/~yourloginname

Your Network Directories

·         PERSONAL DATA: Everyone should save their critical data files to F:.  If you save your important data on C: and your hard drive dies your data is lost.  Floppy drives are also notoriously unreliable places to save data.  If you save your data to F: it will be safe.  The data on your F: is accessible only to you.   Your F: has 50 MB of free diskspace.   Students currently have 25 MB on F:.  More diskspace can be made available as needed.  If your hard drive dies your data will be safe on F:.   You can login on other computers and still have access to your data files from F:.  You can access your data files from home via NetStorage, NetDrive, or FTP..  F: is located on the server and is backed up nightly.

·        ACCESSING FILES FROM HOME USING NETSTORAGE:

NetStorage is the simplest way to access your files when away from campus. It also has the advantage of accessing all your network lettered drives (F:, H:, R:, etc.) through a familiar user interface. Point your web browser to https://home.mesastate.edu/NetStorage or go www.mesastate.edu -> Faculty and Staff -> Faculty/Staff Login -> My Home Directory. Note that the URL is case sensitive and typing the https:// is required. Click Yes on Security Alert and then enter your Novell login and password. Navigate through the folders panel on the left of the window. Notice the Upload and Download choices under the File at the top menu bar. You can also access a menu by right-clicking a file name in the right side of the window. Notice the unusual and innovative sliding bar at the bottom of the right panel to retrieve more filenames into the window. Netstorage allows transfer of only one file at a time and does not allow access to F:\public_html.

·        ACCESSING PERSONAL DATA FROM HOME USING NETDRIVE:

NetDrive allows you to access your campus F: (and only F: ) from your home PC just as if the drive were on your PC. The speed of access, of course, will be your modem speed. Netdrive allows you to transfer multiple files at once and allows you access to your F:\public_html. You can use Copy&Paste, Cut&Paste, or drag to move files. To install the required software from home click here and save the file to the My Downloads folder on your home PC. Install the program by double clicking the downloaded netdrive.exe file. During the installation you will be asked a few questions as shown below:

1. Site Name: Set to any name you like, e.g. Remote Drive Access
2. Site Address/URL: home.mesastate.edu
3. Server Type: FTP
4. Drive: Select an unused drive letter, e.g. X
5. Uncheck: Anonymous/Public Logon
6. Username: Use your regular college Novell login
7. Uncheck: Save Password
8. Password: Use your regular college Novell password
9. Click: Connect

Note your answer to step 4 above. Your campus F: will be drive X: at home if "X" was your answer at step 4.

·         ACCESSING FILES FROM HOME USING AN OLD FASHION FTP PROGRAM:   

Accessing files from home using FTP requires installing an old fashion FTP program on your home computer. You could buy one or find a free one to use. Here we will describe getting and using a free FTP program, vintage 1995.
Point your web browser to www.ipswitch.com and download a free program called WS_FTP LE. Please follow these steps:
· Click on "Downloads and Evaluation Software" and then click on "Download WS_FTP LE". Enter your email address as required, uncheck any other boxes and click on "Download Now".
· Click on "Click Here" for "WS_FTP Download"
· Wait for "File Download" window and click "Save". Choose a folder, usually "Temp", and start the download by clicking on "Save". This should take less than five minutes depending on your modem connection.
· Close the download window. Use Windows Explorer to go to the saved file, ws_ftple.exe. Double click on the file to execute it.
· Answer the user questions and continue to click through the installation process.
· Start the program from the WSFTP icon or from Start ->Programs -> WS_FTP -> WS_FTP95 LE

Use the following steps under the "General" tab to create a profile for accessing your Home Directory F:
1. Profile: Set to any name you like, e.g. Home Directory
2. Host Name/Address: home.mesastate.edu
3. Host Type: UNIX (standard)
4. User ID: Use your regular college Novell login
5. Uncheck: Anonymous
6. Click: Apply then OK
7. Password: Use your regular college Novell password
8. Your My Documents folder should now appear on the right side of the screen (Remote System) and your home PC should be on the left side of the screen. Individual files for transfer can be selected. Use click and shift-click to choose multiple files for transfer.
9. Before transferring files click on the ChgDr button on the left side of the screen to set your desired location for downloaded files to your local system.
10. Click the appropriate direction arrows to begin transfers.
Click Exit when finished.

To create a profile for your H:\download\MyName set Profile to "DownLoad Directory", or name of your choice, and set Host Name/Address to download.mesastate.edu.

·         SWITCHING FROM C:\MY DOCUMENTS TO F:\MY DOCUMENTS: For your convenience there is an icon in the NAL under the branch IT Utilities that will create a My Documents folder on F:, move all your files and subdirectories from C:\My Documents to F:\My Documents and set F:\My Documents as the default save location for MS Office.

·        SHARED FOLDERS IN GROUPWISE: If your department has files that you like to share on a short term basis, consider creating a shared folder in GroupWise so that others you designate can either read and/or update.  File ‑> New ‑> Folder.  If you have files that need to be shared with people outside your department and/or within your department on a long term basis then consider requesting a shared directory on R:.

·         DOWNLOAD DIRECTORIES ON H::  Download directories have proven useful to faculty for sharing data with their students and providing an easy way to make PowerPoint files readily available at any networked lecture hall PC.  These directories are created upon request.  Call 970-248-2111. To access your H:\download directory from home go to MSC Home > Faculty&Staff > Faculty&Staff Login > DOWNLOADS, or use FTP to download.mesastate.edu and change directory to \dosapps\dosapps\download

·        SHARED DATA DIRECTORIES ON R: There are some departments that will have special needs for sharing data within their department on a long term basis or with colleagues from other departments.  If this is the case, request a shared directory from Information Technology at 970-248-2111.

·       COURSE DIRECTORIES:

Course directories are now available upon request.

The first part of a course directory is made up of a “share” directory that is readable only by students in your class. This directory is similar to the H:\download, but only students in your class can read and download from it. Only the instructor can write to it. The directory structure is: K:\COURSE\SECTION\Share

The second part of the course directory is K:\COURSE\SECTION\Students. The “Students” directory has individual directories with the name (login name) of each student. Only the named student and the instructor can read and write to this directory. These directories are intended as a location for students to turn in their work. The instructor can visit the student directories to inspect or evaluate the student’s work.

EXAMPLE: if student Lady Maverick, lmaveric, is taking CSCI100-002, she would see:

K:\CSCI100\002\Share
K:\CSCI100\002\Students\lmaveric

In addition to using Windows Explorer while on campus, the directories in K: can be accessed from off campus through the "My Home Directory" link under "Student Logins" on the web server (NetStorage), as well as with ftp or NetDrive using "courses.mesastate.edu" for the server.

Other notes:
* Course directories will be deleted a week after classes are over. Students, or Faculty who want to keep any of the files should copy them to their F: home directory.
* Disk space limits are set separately for course directories from home directories. If a class needs to work with larger files, we can increase the limits for the class.
