Policies and Procedures
Accessing Services
All services
and equipment are made available on a first-come-first served basis
within an established priority schedule. Any Mesa State employee
may access services for a Mesa State related activity. Non-Mesa
State organizations or entities may in certain circumstances access
services. Under no circumstances may Media Services personnel, equipment
or facilities be used for any commercial purpose or in support of
a commercial purpose or used in a manner that is contrary to college
policy.
Media Equipment
Available
Media Services
provides media equipment for classroom use. All classrooms have
an overhead projector and screen assigned to them. Over 70 classrooms
are "technology enhanced" and have installed computer
and video projection capabilities as well as Internet connections.
You may see a list of classrooms and their capability here.
Media Services
will deliver equipment as necessary to classrooms, on request, or
equipment may be picked up and returned to Media Services by the
borrower. Equipment available for delivery/checkout includes: VCR/TVs,
DVD players, slide projectors, 16mm film projectors, audio cassette
and CD players, portable computer data projectors and laptop computers.
Requesting
Equipment
Who can
submit a request?
Equipment must
be ordered by a Mesa State faculty or staff member. Students must
request equipment or services through a faculty or staff member.
The faculty/staff member and/or department assumes responsibility
for all equipment checked out.
How do you
request?
Equipment/repair
or service requests can be made by filling out an equipment request
form or service work order at the Media Services office by campus
email or by submitting request forms through the Media Services
web site. The Media Services
Groupwise email address is MEDIAEQ. Please include your name,
department, date needed, equipment needed, time needed and building
and room number on your message. You will receive an email confirmation
of your request. Phone requests are taken only in an emergency.
When do
you need to request?
To ensure availability
of resources, requests should be made at least 24 hours in advance.
Media Services will attempt to accommodate all requests, however
late requests may be impossible to fulfill due to time constraints
or availability of resources.
Technology
Classrooms
Most classrooms
on campus are equipped with permanently installed video/data projectors,
computers, video playback equipment and Internet connections. Media
Services maintains these rooms. We provide training at the beginning
of each term and will assist you with these rooms on an as-needed
basis throughout the year. If you have specific computer program
needs in these rooms, or difficulties with the computer setup, then
please contact the Help Desk.
Services
In addition
to providing equipment, Media Services offers a wide range of services
including multimedia production, video production and traditional
audiovisual services such as laminating, photography, and video
and audio duplication. Media Services is also responsible for satellite
downlinks and video distance learning classrooms. There is no cost
to access Media Services unless consumable materials are used.
Media Services
Laptop Use Policy
Media Services
maintains a limited number of portable data projectors and laptop
computers for campus use in rooms where no fixed computer presentation
equipment is present. The laptops and data projectors are intended
to be used in tandem to support computer presentation needs. The
laptop computers are not considered circulating equipment themselves.
Due to the high demand for this equipment in fulfilling its primary
purpose, as well as its fragile nature and cost, several restrictions
are placed on their use.
1. The in-class
instructional use of this equipment takes precedence over all other
uses.
2. During times when classes are in session, laptops may only be
checked out for the time periods they will be used in class presentations.
Laptops may not be checked out for travel to conferences, presentations,
or for any other out of town uses. Equipment may be checked out
to support in-area uses, such as presentations, as long as the checkout
period would not exceed 24 hours.
3. When classes are not in session, (and during the summer session
if usage levels permit) decisions to check out equipment will be
made on a case-by-case basis by the Head of Media Services.
4. Laptops and/or data projectors checked out and taken off campus
are expected to be used in direct support of specific college activities.
5. Laptops and/or data projectors may only be checked out to Mesa
State faculty and staff members.
